Closing Coordinator
This is a part-time, in-office position.
We are seeking an experienced, detail-oriented, and driven professional interested in joining our Real Estate team! Candidates must have recent office experience.
The ideal candidate is outgoing, draws energy from working with people, and demonstrates a high level of optimism. This person has a strong sense of urgency, but not at the expense of quality. Additionally, he/she demonstrates the knowledge, attitude, skills, and habits of a high achiever who is committed to putting clients first, doing the right thing, and seeking win-win agreements.
The Closing Coordinator must be adaptable to change and be solution-oriented. He/She will manage the entire contract-to-close process efficiently and effectively to ensure all transactions close on time with little or no hassle to clients and third parties. This individual will provide exceptional customer service and be a true team player!
Responsibilities:
- Oversee all aspects of team transactions from executed purchase contracts to closing
- Support Realtor partners in the writing and submission of offer packages
- Coordinate the inspections and closings
- Regularly update & maintain communication with Clients, Agents, Attorneys, Lender, etc.
- Manage communication for transactions including phone calls, emails, scheduling appointments, and any other details during the transaction
- Keep involved parties informed and updated on all the details
- Verify all documents are properly executed by all parties
- Ensure closing has been scheduled and all parties have received the appropriate documents
- Follow up on the loan process
- Create and maintain a calendar of events and detailed task lists
- Schedule and follow up on inspections, walk-throughs, closings, and any other appointments
- Upload and disseminate all documents, reports, and disclosures; provide follow-up
- Schedule Client customer service follow-up calls to assist with any home improvement provider recommendations and ask for referrals
- Support real estate agents in the maintenance, documentation, and follow-up of all escrow-related paperwork to ensure accuracy and timeliness
- Efficiently complete all office duties as assigned to ensure client satisfaction
- Acquire seller approval for all offers and counters made by the buyer so the entire process is accurate for our clients and completed in a timely manner
- Review all documents to verify correct signatures and dates assuring that the closing process has been done efficiently and correctly
- Send all disclosures in a timely fashion to keep the process on schedule
- Provide exceptional customer service throughout the entire closing process
- Act as liaison between real estate agents, clients, attorneys, escrow companies, and mortgage brokers during the process of a real estate sale and effectively manage the administrative tasks involved in closing a sale
- Create timelines and follow up with individuals as needed to ensure all deadlines are met and contingencies are released
- Maintain accurate and compliant files for all transactions
- Understand the contracts in order to summarize all important terms, conditions, and contingency dates to clients
- Communicate with the agent several times throughout the transaction including all important dates, missing documents, calendar reminders, file compliance status, etc.
- Establish relationships with all third parties including lenders, inspectors, appraisers, and agents in order to ensure a smooth closing process and share relevant information
- Be the first point of contact and act as a resource for all questions that arise throughout the closing process from the agent (and client, attorneys, lenders, appraisers, other transaction coordinators/Realtors, etc.)
Skills and Qualifications
- Excellent attention to detail
- Believes in prioritizing the customer experience.
- Cool and calm demeanor when resolving issues and communicating with Agents and Clients.
- Recent experience with email, phone, and customer relationship management tools to communicate with clients and other parties in real estate transactions.
- Must possess excellent written and oral grammar abilities
- Self-motivated – Goes beyond what is asked to solve problems or complete a task
- Acts as a calming force when the team is under pressure
- Is direct, yet helpful in dealing with customer concerns
- Demonstrates highly efficient organizational skills
- MUST have valid NCDL and own transportation
- Must have recent office experience
- High School Diploma
